Getting Started

What is XYRA AI?

XYRA AI is an AI-powered cloud accounting platform designed for businesses of all sizes. It helps you manage invoicing, expenses, banking, VAT compliance, inventory, and financial reporting — all from one intuitive dashboard.

How do I create an account?

Simply click the "Sign Up" button on our homepage. Enter your email address, create a password, and fill in your basic business details. Your account will be ready to use in under two minutes — no credit card required.

Is there a free trial?

Yes! XYRA AI offers a 14-day free trial with full access to all features. No credit card is required to start your trial. You can upgrade to a paid plan at any time during or after the trial period.

Can I import data from other software?

Absolutely. XYRA AI supports data import from popular accounting platforms like Tally, QuickBooks, Zoho Books, and more. You can import customers, vendors, invoices, and chart of accounts via CSV or Excel files.

What browsers are supported?

XYRA AI works on all modern browsers including Google Chrome, Mozilla Firefox, Microsoft Edge, Safari, and Opera. We recommend using the latest version of your browser for the best experience.

How do I set up my company profile?

After signing up, go to Settings > Company Profile. Here you can add your company name, logo, address, TRN (Tax Registration Number), and other business details. This information will automatically appear on your invoices and reports.

Account & Billing

What plans are available?

XYRA AI offers flexible plans to suit every business — from a free starter plan for freelancers to professional and enterprise plans for growing teams. Visit our Pricing page to compare features and choose the plan that fits your needs.

How do I upgrade my plan?

Go to Settings > Subscription > Upgrade Plan. Select your preferred plan and complete the payment. Your new features will be available immediately. You'll only be charged the prorated difference for the current billing cycle.

What payment methods do you accept?

We accept all major credit and debit cards (Visa, Mastercard, American Express), UPI, net banking, and popular digital wallets. For enterprise plans, we also support bank transfers and purchase orders.

Can I cancel my subscription?

Yes, you can cancel your subscription at any time from Settings > Subscription. Your account will remain active until the end of the current billing period. After cancellation, you can still access your data in read-only mode.

Is there a refund policy?

We offer a 30-day money-back guarantee on all paid plans. If you're not satisfied with XYRA AI, contact our support team within 30 days of your purchase for a full refund — no questions asked.

How do I change my billing information?

Navigate to Settings > Billing > Payment Methods. Here you can update your credit card details, billing address, and VAT information. Changes will be reflected in your next invoice automatically.

Invoicing

How do I create an invoice?

Go to Sales > Invoices > Create New. Select a customer, add line items with quantities and rates, apply taxes, and click Save or Send. XYRA AI will auto-generate the invoice number and calculate totals for you.

Can I customize invoice templates?

Yes! XYRA AI offers multiple professional invoice templates. You can customize colors, add your logo, adjust column layouts, and even create custom fields. Go to Settings > Invoice Templates to get started.

How do I send recurring invoices?

When creating an invoice, toggle the "Make Recurring" option. Set the frequency (weekly, monthly, quarterly, or custom), start date, and optional end date. XYRA AI will automatically generate and send invoices on schedule.

Can I accept online payments?

Yes. Integrate with popular payment gateways like Razorpay, Stripe, or PayPal from Settings > Online Payments. Once set up, your customers can pay invoices directly via a secure payment link included in every invoice.

How do I handle credit notes?

Navigate to Sales > Credit Notes > Create New. Link it to an existing invoice, specify the items and amounts being credited, and apply it. The credit note will automatically adjust the outstanding balance on the original invoice.

Can I send invoices in multiple currencies?

Absolutely. XYRA AI supports multi-currency invoicing with automatic exchange rate updates. Simply select the currency when creating an invoice. The platform handles conversions and tracks foreign exchange gains or losses automatically.

Banking

How do I connect my bank account?

Go to Banking > Add Account > Connect Bank. Search for your bank, log in securely through our banking partner, and authorize the connection. Your transactions will start syncing automatically within a few minutes.

Is automatic bank sync supported?

Yes, XYRA AI supports automatic bank feeds for most major banks. Transactions are fetched daily and categorized using AI. You can also manually import bank statements in CSV, OFX, or QIF formats.

How does bank reconciliation work?

XYRA AI uses AI to automatically match bank transactions with your invoices and expenses. Review suggested matches in the Banking tab, confirm or adjust them with a single click, and reconcile your accounts in minutes instead of hours.

Which banks are supported?

XYRA AI supports all major UAE banks including Emirates NBD, FAB, ADCB, Mashreq, DIB, RAKBANK, and many more. We also support international banks for businesses with global operations. Check our Banking page for the full list.

How secure is bank data?

Your bank data is protected with bank-grade 256-bit AES encryption. We use read-only access — XYRA AI can never initiate transactions on your behalf. All connections go through RBI-licensed account aggregators for maximum security.

VAT & Tax

Does XYRA AI support VAT filing?

Yes. XYRA AI is fully VAT-compliant and supports end-to-end VAT filing. Generate VAT return reports directly from the platform. You can also file returns through our integrated FTA portal connectivity.

How do I set up VAT rates?

Go to Settings > Tax Rates. XYRA AI comes pre-configured with the standard UAE VAT rate (5%). You can also create custom tax rates and assign default rates to specific items or categories for automatic application.

Can I generate VAT reports?

Absolutely. Navigate to Reports > VAT Reports to generate VAT return reports, input/output tax summaries, and more. Reports are auto-populated from your transaction data and can be exported in FTA-ready format for direct submission.

Does it support multiple TRNs?

Yes. If your business operates across multiple emirates or has multiple registrations, you can add multiple TRNs under one account. XYRA AI will automatically apply the correct TRN and generate separate returns for each registration.

How do I handle reverse charge?

When creating a purchase entry, enable the 'Reverse Charge' toggle. XYRA AI will automatically calculate the reverse charge liability, create the appropriate journal entries, and include the amount in your VAT return under the correct section.

Inventory

Does XYRA AI include inventory management?

Yes. XYRA AI includes built-in inventory management that lets you track stock levels, set reorder points, manage multiple warehouses, and get real-time inventory valuation — all seamlessly integrated with your accounting.

Can I track inventory across multiple warehouses?

Absolutely. Add unlimited warehouses and track stock levels at each location. Transfer stock between warehouses, and view consolidated or location-specific inventory reports. Each warehouse can have its own address for shipping purposes.

How do low stock alerts work?

Set a reorder point for each item in your inventory. When stock falls below that threshold, XYRA AI sends you an automatic email notification and displays an alert on your dashboard so you can reorder before running out.

What inventory valuation methods are supported?

XYRA AI supports FIFO (First In, First Out), weighted average, and specific identification valuation methods. You can set the method per item or globally. The platform automatically adjusts cost of goods sold based on your chosen method.

Can I generate inventory reports?

Yes. Access detailed reports including stock summary, inventory aging, stock movement, warehouse-wise reports, and inventory valuation. All reports can be filtered by date range, warehouse, or category and exported to PDF or Excel.

Security

Is my data secure?

Absolutely. XYRA AI uses enterprise-grade 256-bit AES encryption for data at rest and TLS 1.3 for data in transit. Our infrastructure is hosted on ISO 27001-certified data centers with 24/7 monitoring, automated backups, and disaster recovery protocols.

Do you offer two-factor authentication?

Yes. Enable two-factor authentication (2FA) from Settings > Security. XYRA AI supports authenticator apps (Google Authenticator, Authy) as well as SMS-based verification for an extra layer of security on your account.

Where is data stored?

Your data is stored in secure, geo-redundant data centers located in the UAE, ensuring compliance with local data residency requirements. We maintain multiple backup copies across different availability zones for maximum reliability.

Do you comply with data protection regulations?

Yes. XYRA AI complies with UAE's Federal Decree-Law on Data Protection, GDPR for European users, and follows industry best practices for data privacy. We never sell or share your data with third parties without your explicit consent.

Can I export my data?

Yes. You own your data and can export it at any time. Go to Settings > Data Export to download all your transactions, contacts, invoices, and reports in CSV, Excel, or PDF format. You can also request a complete data archive from our support team.
